Governing Documents

The purpose of a community association’s governing documents is to provide for the legal structure and operation of the community.
The documents:

  • Define the rights and obligations of both the association and its owners
  • Create a binding relationship between each owner and the association
  • Establish the mechanisms for governing and funding the association’s operations
  • Set forth rules and standards for the:
    • Protection of both owners and the community
    • Enhancement of property values
    • Promotion of harmonious living

ACC (Architectural Control Committee)

If you are planning any changes to the outside of your home (including fences, sheds, etc.), the governing documents require that you submit a request to the committee for approval before starting the project. The Architectural Submittal Form below may be printed for your use. Please submit a separate form for each item (or change) that you are requesting. For example, if you are painting and want to build a fence at the same time, you’ll need to submit two forms. It is especially important to make sure you submit a complete package with all required information to receive approval. Incomplete submission packages will be returned and may delay your project.

If you are painting, you will need to include sample ‘paint chips’ so the committee can review the application). Major landscape changes such as removing or planting trees, or redesigning beds, installing pavers, etc. will require ACC approval.

The Architectural Submittal Form may be filled out on your computer then printed and submitted as instructed above. If instructed under the section of the Submittal Form that applies to your proposed project (i.e. fence), please remember to include a sketch/drawing with measurements and submit that with your form.

Gate Access

Community Gates
Every home is assigned a private gate entry access code. The Association encourages residents to NOT give out their private gate code. For your convenience, you may purchase gate remotes for ease of access so that you do not have to stop and manually enter a code to gain access. Gate remotes are not supplied by the Association.

Please complete the Gate Directory Update form to have your name and phone number added to the gate directory. This way visitors and guests may find your name in the directory, and you may grant access from your phone.

Village Commons HOA Clubhouse Building

As Community Members, we enjoy several amenities. The privilege to use these facilities is included as part of the HOA assessments (dues) that we all pay. We all need to do our part to help keep our facilities in excellent condition. Please haul away any trash that you bring in, and if you see garbage lying around, please take a minute and pick it up. Please help keep the community looking beautiful.

Renting the Clubhouse

This building is for the exclusive use of the community members and their guests. To rent the facility the member must be in good standing which means HOA assessments (dues) are current and there are no outstanding fines against your property.

There is a non-refundable User Fee of $50.00. A damage/cleaning deposit of $150.00 must be also paid. If no cleaning and no damage repairs are required after your party, the $150.00 is refundable. The Clubhouse Rental Agreement Form (available below) and deposits must be received 15 calendar days before the rental date. The facility is rented on a first come, first served basis meaning that until the forms and fees are received, we cannot guarantee a hold on your date.

The building will be inspected after each event. Bounce Houses, Trampolines, or other items deemed hazardous by Insurance are not allowed in any Community Common areas.

Board Meetings:

The Board of Directors meetings are open for observation to all homeowners. Please contact the Board for the date of the next Board Meeting.

Annual Meetings:

The Association Annual Membership meetings are held near the end of each year. All Homeowners are welcome to attend and observe these meetings. Official notice of the next meeting will be mailed to each homeowner at least 30 days prior to the meeting date.
